YOUR ROLE
As a Patient Coordinator at Tala Aesthetics, you are the welcoming face and steady presence that ensures our patients have an exceptional experience from start to finish. You’ll play an integral role in supporting the smooth operation of our front office, managing schedules, and handling key patient communications.
Your proactive attitude and strong organizational skills will help you excel in a fast-paced, patient-centered environment.
This position requires a minimum of 2-3 days per week as well as 2 Saturdays per month.
Part of this position also includes appearing in some of our social media videos and participating in one dedicated social media day per month.
ABOUT YOU
We’re looking for someone who:
Thrives on connecting with people and has excellent interpersonal skills.
Is proactive, takes initiative, and anticipates needs before they arise.
Solves problems with a calm and professional approach.
Demonstrates leadership and teamwork skills, even in a fast-paced environment.
Has 1+ year of experience in a medical spa or similar role (knowledge of the aesthetics industry is a plus.)
Is tech-savvy and proficient in scheduling software and social media (experience with Boulevard is a plus.)
KEY RESPONSIBILITIES
Appointment Management:
Oversee daily patient scheduling to ensure appointments run efficiently.
Manage and optimize waitlists and reschedule patients when necessary.
Oversee and implement booking fees and cancellation policies with care and professionalism.
Patient Support:
Deliver top-notch communication to patients before, during, and after their appointments.
Anticipate patient needs and provide appropriate information about Tala’s treatments, policies, and procedures.
Provide patients with appropriate information on services to ensure they feel confident and informed.
Administrative Excellence:
Process deposits, payments, cancellations, and patient records with accuracy and attention to detail.
Maintain a clean, welcoming, & organized front office environment.
Assist in answering patient inquiries via phone, email, social media, and other platforms.
Team Collaboration:
Partner with Tala’s dynamic team to deliver a seamless, patient-centered experience.
Take the initiative to identify and solve operational challenges.
Contribute to improving patient satisfaction and clinic efficiency.
